Privacy Policy

Effective date: October 27, 2026 · Last updated: October 27, 2026

This Privacy Policy explains how Puget Sound Web Pros, LLC ("PSWP," "we," "us," or "our") collects, uses, shares, and protects information through our website at pugetsoundwebpros.com, our free Digital Presence Score (when available), and our client reporting services, including the Digital Growth Tracker. It doesn't cover the websites, apps, or customers of the businesses we work for. Each of those businesses is responsible for its own privacy practices.

Summary

  • We collect the information you give us, limited technical information, and public information about businesses.
  • We use it to respond to you, provide our services, keep the site secure, and improve what we do.
  • We don't sell personal information, and we don't share it for targeted advertising.
  • We use service providers, including Cloudflare, Google, and Anthropic, to run the site and our services.
  • You can ask us about, correct, or delete your information by emailing [email protected].

Information we collect

Information you give us. When you request a review, ask for an action plan, or contact us, we collect what you enter: your name, business name, email address, website address, city or service area, the marketing challenge you choose, any package you selected, and any details you add. If you call or email us, we receive your phone number or email address and what you tell us.

Information collected automatically. When you use the site, our hosting and security providers process technical information such as your IP address, browser and device type, the pages you request, the referring page, and your approximate location (country). We use this to deliver the site, keep it secure, and prevent abuse. When you submit a form, we record the page you submitted it from and your country, and we send your IP address to our spam-protection service to check that a person is submitting the form.

Public information about businesses. To create assessments, we collect information about businesses that is publicly available online, such as website content, business listings, review counts and ratings, and public social media profiles. Public business information can sometimes include personal details, such as an owner's name or a phone number published on a website or listing.

Information from clients. If you're a client, we collect information needed to provide and bill for our services, such as contact and account details, information about your business, and, only if you authorize it, data from connected accounts such as Google Analytics or Google Search Console. Payments are processed by PayPal, and we don't receive or store your full card or bank account numbers.

How we use information

  • To respond to your requests, prepare reviews and action plans, and follow up with you about them
  • To provide, maintain, and report on the services you buy from us
  • To create Digital Presence Scores and Digital Growth Reports
  • To communicate with you about your account, services, and billing
  • To protect the site and our services, including detecting spam and abuse and enforcing usage limits
  • To understand how the site is used and improve it
  • To comply with law, enforce our agreements, and protect our rights and the rights of others

Digital Growth Tracker (clients)

If your service package includes the Digital Growth Tracker, we assess your business's online presence when service begins (a baseline) and periodically after that, and we prepare reports that compare results over time.

What we store. For each assessment, we store the date, the scoring method used, overall and area scores, how much could be checked, the findings and their public sources, and recommended next steps. We also keep a log of work we've done for you. If you authorize a connected account, we also store the metrics it provides for your reports.

Connected accounts. We'll only access data from a connected account, such as Google Analytics or Google Search Console, if you authorize it. Before you connect, we'll tell you what data will be accessed. We use that data only to provide your reports and related services. Our use of information received from Google APIs will follow the Google API Services User Data Policy, including its Limited Use requirements. You can revoke our access at any time in your Google account settings or by contacting us. Revoking access stops future collection but doesn't remove reports already prepared.

Retention. While you're an active client, we generally keep up to 24 months of assessment history, work log entries, and connected-account metrics, plus your baseline assessment for as long as your service continues. After your service ends, we generally delete your Growth Tracker data about 90 days later. Before then, you can ask us for a copy. We may keep some information longer where needed to meet legal, tax, accounting, or other legal obligations, resolve disputes, or enforce our agreements.

Your requests. You can ask us for a copy of your assessment history, reports, and work log, or ask us to correct or delete them (see Your choices). To keep an accurate historical record, we may correct a report by adding a clarification or note rather than changing a past assessment.

Access to reports. Client reports are not public. We currently share them with you directly, for example by email. Before we share or delete client information, we may ask you to confirm that you're authorized to act for the business.

Third-party information. Reports rely on public sources and connected services we don't control, and we're not responsible for errors in third-party data. Reports show measured changes over time, but they don't guarantee search rankings, traffic, leads, revenue, or other results.

How we use AI

We use AI tools to help research, draft, and analyze information, including in the Digital Presence Score and Digital Growth Reports. People at PSWP review client deliverables. AI-generated information can be incomplete or inaccurate, and our assessments are estimates, not guarantees.

When we use Anthropic's API, Anthropic processes the information we send under its commercial terms. Under the terms in effect when this policy was last updated, Anthropic doesn't use that information to train its models. It generally deletes API inputs and outputs within 30 days, but it may keep them longer where needed to enforce its usage policies or comply with law. Anthropic's practices are governed by its own terms and policies, which may change.

How we share information

We share information only as described in this policy:

  • Service providers that process information on our behalf, including:
    • Cloudflare: website hosting, the servers and storage behind our forms and assessments, security, and spam protection (Cloudflare Turnstile, which uses signals such as your IP address and browser information to tell people from bots)
    • Google: business email (Google Workspace), the service that delivers form submissions to our inbox, and website analytics (Google Analytics)
    • Anthropic: AI processing for assessments
    • PayPal: payment processing for clients
    • Email delivery providers we may use to deliver form notifications
  • Legal and safety reasons: when we believe it's needed to comply with law or legal process, protect our rights or the safety of others, or investigate fraud or abuse.
  • Business transfers: as part of a merger, acquisition, financing, or sale of assets, subject to this policy.
  • With your direction or consent.

Each provider processes information under its own terms and privacy policies. We don't sell personal information, and we don't share it for cross-context behavioral (targeted) advertising.

Cookies, analytics, and Do Not Track

We use Google Analytics to understand how visitors use the site, such as which pages are viewed and which buttons and forms are used. Google Analytics uses cookies and similar technologies, and Google collects information such as pages visited and device information, which it provides to us as reports. We've turned off Google's advertising features for our site. You can learn how Google uses this information at How Google uses information from sites that use its services, and you can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser.

We don't use advertising or remarketing cookies. The site uses your browser's session storage only for features you use. Cloudflare Turnstile may process browser signals to check that a person is submitting a form.

Some browsers send "Do Not Track" signals. Because there's no common standard for responding to them, our site doesn't currently respond to Do Not Track signals. Apart from the providers described in this policy, we don't allow third parties to collect personal information about your activity on our site over time and across other websites.

How long we keep information

We keep information for as long as reasonably needed for the purposes described in this policy, and then delete it or de-identify it. Specific practices for the Digital Presence Score and the Digital Growth Tracker are described above. Inquiries and related emails are kept in our business email for as long as needed to respond, follow up, and maintain our business records. We review and delete them when they're no longer needed.

Retention periods in this policy describe our general practices, not guaranteed deletion times. Deleted information may remain for a limited period in our providers' backups and system logs before it's overwritten. Information held by service providers is also subject to their own retention practices. We may keep information longer where required or permitted by law, to resolve disputes, to enforce our agreements, or to prevent fraud and abuse.

Security

We use reasonable administrative, technical, and physical safeguards designed to protect information, such as encrypted connections, access controls, spam protection, and limits on the information we collect and log. No website, transmission, or storage system is completely secure, and we can't guarantee the security of information. If we learn of a security incident that affects your personal information, we'll notify you as required by applicable law.

Your choices and requests

You can ask us to:

  • tell you what personal information we hold about you and give you a copy,
  • correct information that's inaccurate, or
  • delete your information, including a Digital Presence Score record for your business.

Email [email protected] with your request. For a score record, include the business name, website, and city or service area that were entered. We may need to verify your identity, or your authority to act for a business, before we act on a request. We'll respond within a reasonable time and within any period required by applicable law. We may keep information where an exception applies, for example where we're required to keep it by law. We won't treat you differently for making a request. Depending on where you live, you may have additional rights under applicable law, and we'll honor them where they apply.

You can also unsubscribe from any marketing emails we send by using the link in the email or by contacting us.

For website owners: our automated website check

When someone requests a Digital Presence Score for a business with a website, our server may request that site's robots.txt file and home page using the user agent "PSWP-PresenceCheck/1.0." We honor robots.txt rules that disallow all access for all agents or for our agent. We make a small number of requests, and we only read publicly available pages. If you'd prefer that we don't check your site, block our user agent in robots.txt or contact us.

Sensitive information

Our services aren't designed to collect sensitive personal information, such as health information, financial account numbers, or government ID numbers. Please don't include it in forms or messages. If you do, we'll use it only to respond to you, and you can ask us to delete it.

Children

Our site and services are for businesses and aren't directed to children under 13. We don't knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we'll delete it.

Where information is processed

We're based in the United States. Our service providers may process information in the United States and other countries where they operate.

Changes to this policy

We may update this policy from time to time. When we do, we'll post the updated version on this page and change the "Last updated" date. If we make material changes, we'll provide additional notice, for example a notice on our website or, for clients, by email. Changes apply from the date they're posted.
